Document Outsourcing Limited has invested in the latest MIS from Shuttleworth Business Systems, giving the company cost savings and instant communication.

The company offers a full end-to-end service from print management and bulk mailing through to postage solutions, and has based its current successes on information sharing, with 100% integration of job and client information across multiple sites.

Neil McCallum, managing directo, explained, ‘In 2013 we took the strategic decision to completely change our MIS to a more efficient and adaptable solution. Working with Shuttleworth, we quickly identified the need for a system that could be modified to meet our own bespoke requirements.

‘Shuttleworth stood out early on in the tendering process, as their approach to business was one of honesty combined with real enthusiasm and a desire to see our profitability improve.  Shuttleworth’s service ethos is much more than supplying an effective MIS system. They really want to understand every aspect of our business, as well as our future goals and aspirations.’

The company has production facilities at multiple UK sites and the MIS scheduling allows the jobs to be split between sites, maximising available capacity. It also allocates jobs closest to the delivery destinations, and batches similar types of work, even allocating production to the most relevant and cost effective production processes.

Customer data and job information is fully integrated throughout the business. Document Outsourcing holds a ‘Prime Post’ license, which works with clients to get the best rates on their postage in the UK. This is aided by the external integration of MIS information into the Royal Mail.

Key information is available, with instant reports at the click of a button and so the company is constantly looking for ways to grow its business and reduce production costs. Tailored developments to the Shuttleworth MIS allow them to view reports for purchase patterns, up-to-date sales, cost of deliveries and even zonal postal charges.

Mr McCallum concluded, ‘The Shuttleworth MIS has given us the tools to improve our business, to highlight efficiencies and help us to focus on removing costs from the business. Our investment in Shuttleworth has proved invaluable in moving us forward and we are really seeing positive result to the bottom line with an increase in profits.’
